Petsoft and the services described below use cookies, pixels, tags and similar technologies. Not all of these depend on cookies; some send information directly from your browser when a page loads.
This website and the Petsoft application use Google Analytics and Google Tag Manager to understand how they are used. These services may run on any page of this website or the Petsoft application, including signed-in pages used by pet care businesses and by pet parents, such as reservation, billing, payment and pet pages.
Our public marketing pages, such as our home, features, business signup and demo request pages, also use advertising measurement pixels from Meta (Facebook and Instagram) and OpenAI (ChatGPT ads) to measure whether a visit led to a business signup or a demo request. The Meta and OpenAI pixels do not run on sign-in pages, inside the signed-in Petsoft application, or on the pages used by pet parents.
A pet care business that uses Petsoft may configure its own Google Ads conversion tracking. If you create a pet parent account after clicking one of that business's Google ads, Petsoft saves the Google click identifier (gclid) from the ad link with your customer record. After you confirm your email address, the confirmation page loads that business's Google tag and reports your signup as a conversion to that business's Google Ads account, together with the click identifier. That business's use of this information is subject to its own privacy practices and to Google's privacy policy.
We do not intentionally send the name, email address, phone number or other information you enter in our forms to Google, Meta or OpenAI. When their tags or pixels load, however, these services can automatically collect information such as the page URL, your IP address, your browser and device information, and the content of their own cookies. We use the information these services provide to measure how well advertising works and to improve our website and application. Each service handles this information under its own privacy policy: Google, Meta and OpenAI.
You can block these technologies or delete their cookies through your browser settings or a content-blocking extension, and you can manage how Meta uses information for ads in your Facebook ad preferences. Blocking them does not prevent you from using this website.
Some of our forms (contact, demo request, business signup and pet parent registration) use Google reCAPTCHA to tell people from automated programs. reCAPTCHA collects device and browser information and sends it to Google. Google's Privacy Policy and Terms of Service apply.
When you reach our marketing pages from another website, an advertisement or a campaign link, we record the date and time, your IP address (shortened, with its last part removed), your browser and device type, the page you came from and any campaign details in the link. We set a first-party cookie, which expires on its own, so we do not record the same visit twice. If you later submit our contact or demo request form, we connect that record to your request to see which campaign led to it. We keep these records for a limited period. If a record is connected to a request, we then keep only the campaign details, without the address, browser or referring-page details.
Emails sent through Petsoft on behalf of a pet care business contain a small invisible image. When your email program loads it, Petsoft records that the message was opened, and when, and shows that to the business that sent it.
We use service providers to run Petsoft, including Microsoft Azure (hosting and monitoring), Twilio (text messages), Elavon (card payments), an email delivery service, and Intuit (QuickBooks, only when a business turns it on).
At Petsoft, we extend our commitment to privacy and data protection to the documentation related to pets provided by our clients.
In accordance with regulatory requirements and our commitment to maintaining a high standard of data management, Petsoft will retain any documentation related to pets, such as veterinary records in order to provide you services of this site. This retention policy is designed to ensure that we have the necessary information to provide services related to your pets while respecting your privacy.
In cases where documents are permanently deleted by our system, they will be securely disposed of in a manner that protects your privacy and the confidentiality of the information contained within. We keep copies of messages we send and uploaded vaccination documents for a limited period. Other records are kept while the business account is active, and afterward for as long as needed for legal, security and backup purposes.
Pet parents can delete their account from Settings. We anonymize the name, contact details and pet records tied to the account and remove saved cards, uploaded documents and notes. Financial and booking records the business needs are kept in anonymized form. Copies of messages, security logs, audit history and system backups may remain after deletion. To ask what we hold about you, or to correct or delete it, contact us using the details in the "Contacting Petsoft About This Website" section. Because the business holds your customer record, we may direct your request to that business.
When you choose to send email to Petsoft you are consenting to Petsoft using the information provided therein, including personally identifying information, in accordance with this notice, unless you expressly state in the email your objection to any use(s).
Electronic mail is not necessarily secure. You should be very cautious when sending electronic mail containing sensitive, confidential information. As an alternative, you should give consideration to sending requests by postal mail.

If you opt in to receive SMS text messages from a Petsoft customer (a pet boarding or daycare facility using Petsoft), you may receive messages related to transaction receipts, upcoming appointment reminders, service announcements, and marketing messages from that facility. Message frequency varies. Message and data rates may apply.
You can opt out of SMS messages at any time by replying STOP to any message, or by updating your SMS notification preferences in the Settings section of the app. After you reply STOP, we will send one final message confirming your unsubscription; you will not receive any further messages unless you opt back in. If you experience issues, reply HELP or contact your preferred facility directly.
No mobile information, including opt-in status and consent, will be shared with any third parties or affiliates for marketing or promotional purposes. Petsoft shares your phone number with our SMS delivery provider, Twilio, solely to deliver the messages you have opted in to receive. All categories of personal information disclosed for a business purpose, and the disclosure of SMS opt-in consent, will not be shared with any third parties, except as necessary to provide the SMS messaging service itself (e.g., Twilio as our messaging aggregator/carrier).
Carriers are not liable for delayed or undelivered messages.
Our demo environment at demo.petsoft.com uses PostHog, a third-party analytics service, to understand how visitors use our product demo. PostHog records the pages you view, what you click, how long you spend on each page, how far you scroll, and the page or site you came from, and may record a video-like replay of your demo session. Like any website, PostHog also receives your IP address and browser details, and stores them on servers in the United States. PostHog also stores identifiers and settings in a cookie, which lasts up to a year, and in your browser's local storage, which stays until you clear it, so it can recognize repeat visits; you can delete both at any time in your browser settings. The data is pseudonymous: it is tied to your demo session, not to your name, email address, or phone number. Text you type into form fields is masked in replays, but information shown on screen, such as a record you add to the demo, can still appear, so please use sample data rather than real customer or pet-owner information. We make a best effort to honor your browser's Do Not Track setting: when it is on, PostHog treats you as opted out of tracking. Replays are kept for 30 days. Petsoft uses this data only to improve the demo and does not sell it. PostHog processes it on our behalf. If you have questions about this data, contact us using the details below.
We may update this policy. The date at the top shows when it last changed. For material changes we notify business account holders by email.
